Primary Duties and Responsibilities:
• Support the Pastor of Crossover Sports in the planning, organization, implementation, and administration of ministry initiatives aligning with CSC's mission, vision, values, and Five Pursuits.
• Provide administrative leadership and coordination for sports, recreation, fitness, outreach, and leadership development programs.
• Develop, maintain, and manage ministry planning tools, calendars, timelines, and organizational resources.
• Assist in creating systems and processes that improve ministry efficiency, effectiveness, and participant experience.
• Manage registrations for all Crossover Sports leagues, camps, events, tournaments, and Learn 2 Play initiatives.
• Maintain accurate participant, volunteer, attendance, and ministry records using The Rock and other church systems.
• Coordinate event check-in processes and ensure accurate attendance tracking.
• Maintain databases, documentation, and ministry files in accordance with church policies.
• Process volunteer applications and onboarding requirements in accordance with Policy to Protect (P2P) standards.
• Ensure volunteer screening requirements, police checks, training certifications, and documentation remain current.
• Coordinate volunteer recruitment, scheduling, communication, and ongoing administrative support.
• Assist in organizing volunteer orientation, training, equipping, appreciation, and leadership development opportunities.
• Create, coordinate, and manage communication plans for all Crossover Sports programs and events.
• Draft, edit, and distribute participant, parent, volunteer, and leader communications in a timely and professional manner.
• Manage the Crossover Sports email inbox and voicemail communications.
• Collaborate with internal departments to promote registrations and ministry opportunities.
• Provide administrative and logistical support for leagues, camps, tournaments, outreach initiatives, fitness programs, and special events.
• Assist with event planning, scheduling, facility bookings, volunteer coordination, and participant communications.
• Coordinate facility requests, gym bookings, event scheduling, and ministry space reservations in partnership with church departments.
• Organize and submit merchandise, equipment, and resource orders for participants, volunteers, and ministry programs.
• Manage inventory records and assist with organization, storage, distribution, and maintenance of ministry resources.
• Process cheque requisitions, purchasing requests, expense tracking, and credit card reconciliation.
• Compile and submit quarterly Ministry Health Report statistics, tracking participation and volunteer engagement metrics.
• Ensure ministry compliance with Policy to Protect (P2P), church policies, and operational safety standards.
• Provide day-to-day oversight, guidance, and support to volunteers and assist in the care of participants during leagues and camps.
